Automated tracking
We are pleased to announce the launch of a new tool that allows you to automatically track learners based on certain events that can be programmed.
To do this, we have included a new section on your platform called “Automations” which, through a series of dynamic rules, will allow you to optimize your tutoring work by automating processes, sending reminders, and other repetitive tasks.
You will see that it has a new design that we are working on and that we will gradually incorporate into the management section of your platform. (We will keep you informed about this new design in future communications).
From the Automations screen, administrators can automate messages that will be sent automatically to learners if certain pre-configured conditions are met.
The main objective is to automatically track learners:
To do this, several steps must be taken:
1) Indicate who it is intended for: select at least one list, course, or group.
2) Select which conditions must be met for the automations to be executed.
These conditions can be based on different parameters that must be defined individually, or by combining several conditions that we want to be met together:
- Time in the course
- Days elapsed since the start of the course
- Percentage elapsed since the start of the course
- Progress in the course
- Percentage of progress in the course
- Deviation between the time elapsed in the course and the percentage completed: learners are selected according to whether their progress is above or below expectations
- Deviation between the time elapsed in the course and the percentage of hours connected: learners are selected according to whether their connection time is above or below expectations
- Access to the course
- The learner has never entered the course
- Days without connecting to the course
- Course and activity completion
- Course completion criteria: passed or failed
- Survey/Certificate
- Final course satisfaction survey: completed or not completed
- Fundae evaluation survey: completed or not completed
- Has downloaded the certificate
3) Select what action will be taken once the conditions are met:
- Send internal message to learner
- Send internal message to Coordinator/Teacher/Administrator
- Change enrollment status to active, read-only, archived, or withdrawn
4) Schedule the automation to run once or periodically.
5) Choose the status of the enrollments of the learners you want to track: whether they are active, read-only, or archived.
6) In addition, it is possible to mark the status of the automation, so that each of the automations created can be activated or deactivated depending on when you want them to start running.
Once our automations have been executed, in the details of each automation, we can see the learners who have met the conditions and the date and time when they took place:
